Process automation with artificial intelligence

Let the system prepare quotes, invoices, records and filing, so all you have to do is review and approve.

Process automation with artificial intelligence means connecting the tools a business already uses (email, spreadsheets, CRM, invoicing, forms) so the system prepares quotes, invoices, records and replies, and a person only has to review and approve. FH Tecnología measures the baseline before automating and designs every flow so nothing goes out to customers without human confirmation.

What gets automated

The repetitive work, without taking away your control.

Every flow ends in a human approval. The system does the preparation work; you decide.

Sales

Quotes

Receives the request, organises the data, spots what is missing, proposes a price with its calculation and leaves the draft ready to approve.

Admin

Invoices and payments

Sequential numbering, templates, payment status and filing organised by year and month, with tracking of what is outstanding.

Customer service

Replies and classification

Immediate acknowledgement on every channel and message classification so no request goes unanswered.

Control

Tracking dashboards

One dashboard with quotes, outstanding invoices and monthly trends, always on a single source of data.

Project rules

Drafts until you say yes.

Useful automation is the kind that gives you no nasty surprises. That is why some rules never change.

  • Nothing is sent without approval. Everything goes out as a draft until you confirm it.
  • A single source of data. Avoids duplicate databases that drift apart and break the numbering.
  • Dated change log. So every improvement can be attributed to a cause.
  • Backup before every change to the website or the processes.
How I work

From idea to production in four phases.

  1. Phase 1 · 1 week

    Discover

Goal, available data, risks and success metric, all in writing.

  2. Phase 2 · 1-2 weeks

    Prototype

A working version with your real data, to decide with evidence.

  3. Phase 3 · 2-6 weeks

    Build

Product in production, with tests, security and documentation.

  4. Phase 4 · ongoing

    Operate

Measurement, improvements and support so the result lasts.

Frequently asked questions

About automation.

Which processes should be automated first?

The ones that repeat often, follow clear rules and eat up hours: preparing quotes, classifying requests, filing documents or reconciling data between tools.

Do I lose control of the process?

No. Flows are designed so the system prepares drafts and records, and a person approves everything that goes out to customers or affects invoicing. Nothing is sent without your confirmation.

Which tools can it integrate with?

The usual ones in an SME: email, Google Drive and Sheets, CRM, web forms, WordPress, Instagram or invoicing tools, as long as they offer an API or connectors. Orchestration is usually done with n8n and models such as Claude.

What if the process affects invoicing?

I check with your accountant that the flow complies with the applicable invoicing rules, including Verifactu where relevant, and keep sequential numbering and an archive of every document.

How do you know how much is saved?

The baseline is measured before starting: hours, errors and response times. Afterwards, the same indicator is compared every month and every change is logged with its date.
